BOOKING POLICIES
Appointments, including early morning times, are available weekdays. Class bookings are available according to the schedule and may be held outside of normal office hours during weekdays. Organisational bookings are available and considered on a case by case basis. Generally, all recurring services are held during weekdays. To make a booking please contact us via our website (book now), email or phone. We see adults aged 18 and over. When you make a booking with Telos, payment is due as we make commitments at the time of your booking. Payment may be made via bank transfer (preferred) or cash. Payment details are provided once you’ve made a booking. Please be sure to have paid for your booking at least 72 hours in advance of your appointment or Telos may reschedule your appointment, unless otherwise agreed with Telos in writing. There may be times that Telos may need to reschedule your booking and we will work to find a suitable alternative date.
CANCELLATION, PAYMENTS AND EQUIPMENT POLICY
Thank you for communicating schedule changes with good notice, making payments on time and returning any kit loaned to you or your organisation in good time. For those who keep in good standing on these terms, your loyalty rewards and status are maintained.
Please provide 48 hours cancellation notice in writing to info@telos.org.uk to avoid any cancellation fees. In the email subject please type ‘Cancel’ and the booking date and time. Please indicate your name in the email body; only you may cancel your booking except under emergency circumstances. Please do not contact Salus Wellness or other clinic locations for cancellations as they will not handle cancellations and late fees will still be due to Telos if you do not cancel with Telos directly within the timeframes provided. Late cancellation fees of 50% of the full price booking apply between 48 and 24 hours notice before your appointment time, a 75% of the full price booking for cancellation notices within 24 hours and 100% of the full price booking for no-shows/no advanced notice. There is usually some travel time and/or preparation time for us so please provide advanced notice before the start of the scheduled service.
If you are late, your appointment time may be cut short though the full price will be expected. If you are 15 minutes late or more, your appointment is considered a no-show.
If you are concerned about missing a booking because of work commitments, we may have early morning appointments and/or video conferencing available for existing clients.
Please understand that we incur costs and time associated with your appointment, regardless of whether you turn up; mitigating this requires advanced notice. We appreciate your consideration for the circumstances.
If you are late with giving notice for cancellations or making payment due or returning borrowed equipment in good time, your loyalty rewards and status are affected as the account is no longer in good standing.
Clinic and/or class participation
MEDICAL CONCERNS
We will endeavour to find a way for those with medical conditions and/or emergencies. For clinic services, the initial consultation appointment screens for contraindications. For Qigong and Chun Yuen Quan classes, the sign-up forms screen for concerns and layout mutual expectations for a way forward. Time is needed to disclose and consider your situation so please consider contacting Kay in advance so that appropriate time may be given to your case. We will work to find a way forward with you.
We love to help people improve their quality of life. We are willing, where appropriate, to research how to meet special medical needs. If the medical situation is outside of our professional remit we may need to refer and/or signpost recommendations. We will do our best to support you in an appropriate way.
Should you need a ground floor appointment, please indicate so when making the reservation. For individuals with medical conditions who may have difficulty making appointments on a given day, any changes to these terms and conditions must be agreed by Telos, in advance and in writing as indicated by Telos offering any new agreed terms to you in writing. Otherwise the existing policy stands.
For managing regular illness, Qigong/Chun Yuen Quan students are offered the opportunity to make up sessions missed in a month by attending classes on days they normally do not attend or by attending online if Sifu Kay is given enough notice. It is up to students to use their monthly class allotment to the fullest extent possible. On rare occasions a student may have prepaid but is unable to make class due to hospitalisation/treatment/medical emergency/contracting covid-19; in cases such as these, prepaid pay as you go students may defer attendance or, for those on package deals, class credits accumulating up to ten in any given year may be offered. For those whose ongoing medical condition inhibits regular attendance, we would advise the pay-as-you-go option or to make as many classes in your package as you can as it may be cheaper than paying-as-you-go. Class credits are not given for classes missed for common/recurrent reasons (e.g. your known challenges, recurrent illnesses, etc). If you have COVID or a contagious viral infection, as a common courtesy we ask you not to come to class and instead attend online if you are well enough. If you don’t have access to a suitable device and broadband at home, then credits/rescheduling may apply.
ADVERSE WEATHER/PUBLIC HEALTH CONCERNS/UNPREDICTABLE CIRCUMSTANCE CANCELLATIONS
Telos may reschedule or cancel services affected by adverse weather conditions or other unpredictable circumstances (e.g. road closures preventing access to facilities, health or safety alerts for the area, practitioner injury/illness affecting ability to provide safe & effective service, etc.). For example, Telos may need to reschedule during a public health concern such as the covid-19 pandemic; should we test positive for Covid-19 before a face-to-face session, we may reschedule the appointment based on risk profiles, professional guidelines and/or government health advice. Online sessions and/or class credits of up to ten credits per person per year may be offered instead. Telos initiates scheduling changes by contacting you with the contact details you have provided to us. Please do check your messages before leaving for Telos events. Please notify us of changes to your contact information.
KNOWN TEMPORARY SERVICE DISRUPTIONS
Please note that Telos services are usually suspended for the latter half of December and the New Year holidays and for a couple weeks holiday travel during the year and a week of professional development travel. This time off for Telos is factored into annual price plans offered. Where possible, cover may be provided but is not guaranteed for Qigong and/or Chun Yuen classes. Additional Telos service disruptions above these may occur and session credit for those affected on package deals may be offered on a case by case basis where appropriate.
CLASS CREDIT USAGE
Use your credits as quickly as you can if you’ve been issued any according to the above situations. Credits expire a year from issue. Any unused class credits also expire if your Tse Qigong Membership expires and/or you are no longer a member of the Tse Qigong Centre. Class credits may only be redeemed by you attending one of Sifu Kay’s Qigong and/or Chun Yuen classes.
WHEN WE ARE LIKELY TO REFER/REFUSE SERVICES
Any service
Telos may refer clients who have medical conditions, signs or symptoms outside of our remit. Please see the related paragraph above. Sometimes the referral may be to a medical professional to ensure we can proceed with providing services, other times we may not be able to provide services as they may be outside of our professional remit.
Telos may also refuse services to organisations for health and safety concerns. For example, service may be delayed or refused until appropriate covid-19 protocols are in place and/or other appropriate room/facility conditions relevant to the type of service(s) provided.
Telos is a professional practice and as such additional considerations for referral apply for friends seeking services from a Telos practitioner. We may refuse some or all services, particularly services that involve conversation styles that are designed to guide healthy lifestyle change. We value practitioner’s friendships and seek to preserve them.
Aggressive, threatening, disingenuous, uncooperative, disruptive or rude behaviour with Telos practitioners and/or with clients are examples of behaviour that will not be tolerated - we retain the right to refuse services and to take steps to have the offending individual(s) removed from the premises and/or block communications.
There are no refunds for services rendered in part or in full, especially if a client or participant has displayed inappropriate conduct or violated these terms + conditions; cancellation policies apply. Telos retains the right to refuse service without warning. We may also refuse services if a client has not paid in full or authentically completed required disclosures. Services, including participation in loyalty rewards scheme may be revoked and lifetime acorn balance and status benefits negated for those accounts not in good standing with terms and conditions.

Intensive training
As we take a whole body/wellbeing approach to all services, we are unlikely to support treatment or training plans that are detrimental to overall quality of life and/or another aspect of wellbeing.* We consider the World Health Organisation’s definition of wellbeing which includes eight categories: physical, mental, social, financial, environmental, occupational, spiritual (in a broad sense) and intellectual.
To this end we will support healthy physical training workout plans that are balanced with other aspects of wellbeing. As a result we may refer those who expect Telos to implement regular training plans of moderate or vigorous activity that do not include a full day off (12 am to 11:59 pm) each week.* We may also refer those who ask Telos for training plans that are regularly greater than 150 minutes of vigorous activity or greater than 300 minutes of moderate activity each week. Our guidelines are based on research related to the incremental benefits and detriments of exercise frequency, intensity and duration. *Exceptions may be made for well-trained athletes who have an established and sustained history of training in their exercise type(s) at higher levels and demonstrate a willingness to make lifestyle and training habits changes that may change a history of injury/dysfunction and/or imbalances in physical over other important categories of wellbeing.
We will always encourage clients to build up their exercise, safely and effectively and in balance with other aspects of their wellbeing. Signing up for races and events can be a fun and helpful tool for improving physical wellbeing and quality of life. Telos loves being a part of clients’ healthy and balanced approach to event participation. Sometimes, however, clients (old and new to training) may bite off more than they can sensibly chew when setting goals. We may refer clients seeking event-related training programs who are determined to participate in an event or race that’s deadline and/or physical requirements doesn’t allow for sufficient build up and/or safe and effective training or that is to the detriment of other aspects of wellbeing.
Qigong and Chun Yuen Quan classes
Sifu Kay is qualified to teach the Kunlun Dayan Qigong skill through the Tse Qigong Centre. For students wanting to learn this traditional Chinese skill, membership is required with Tse Qigong Centre after attending two of any of its classes with authorised instructors, anywhere in the world. By participating in classes you agree to the following: no video, audio recording or screen capture is allowed; you aren’t allowed to teach or share the skills learned without written permission from the Tse Qigong Centre; any breach of these rules can result in being banned from any future classes and seminars. As a result of participation requirements, filling out the membership form is required before the start of your first class, even if you do not choose to become a member. If you let your Tse membership lapse while continuing to train, your account is not considered to be in good standing. The Tse Qigong Centre has conduct expectations for members and some students attending classes may have their membership and class attendance ability revoked based on Tse Qigong Centre’s expectations of conduct. Remember to be respectful of the skill, the teachers, its traditions - be respectful both in and out of class. If you’ve had your Tse Qigong Centre membership revoked, Sifu Kay is unable to teach you any Tse Qigong Centre skill and class attendance is not possible. Tse Centre Membership conduct expectations are based on traditional Chinese practices, for example, students are not allowed to teach the skill to anyone informally (not getting paid) or formally (being paid) unless they have qualified as an authorised instructor with the Tse Qigong Centre. Qualifying as a traditional instructor is only possible after “several years of practice, demonstration of a good heart and good loyalty”. Instructor courses are by invitation only. Students who come to class are expected to respect the teacher and lineage of teachers, to respect the skill, to hone and polish the skill under their instructor’s guidance, and to preserve its cultural traditions and requirements for skill progression. Failing to do so may result in a discontinuation of service and revocation of membership.
